How We Work
How we find and fix contractor profit leaks
OpsAIM™ is Path to Scale's method for commercial and building-services contractors: we measure real jobs, rank profit and cash leaks in dollars, fix them with the client's team, and automate only what pays back at any tech level.
Why Most Fixes Fail
- Wrong diagnosis: fixing symptoms, like hiring another dispatcher, when the leak is somewhere else.
- Generic playbooks: advice built for residential shops or software companies, not commercial contractors.
- No buy-in: changes designed without the crews and office staff who have to run them.
Measure first. Then fix.
Before we change anything, we measure your own jobs. We call it Mine Before You Design™.
We run Six Sigma's improvement cycle on your own job data: find the leaks, fix the workflows, keep the gains.
- Send: Your office sends read-only exports, or 50–100 job files, off a one-page checklist. Nothing gets replaced.
- Measure: We line up the dates on every job (scheduled, done, billed, paid) and find where work and cash sit waiting. Each wait gets a dollar figure.
- Plan: We build the fix list with your managers, biggest dollars first.
- Fix: A weekly numbers meeting, your costliest workflow rebuilt, and one automation that pays for itself. Your team runs it.
- Keep: Control charts and the weekly rhythm hold the gains, and each quarter is re-measured.
Works at Any Tech Level
- Systems-ready: ServiceTitan, BuildOps or Procore plus accounting supports full process mining.
- Partial: QuickBooks, Sage or Foundation plus spreadsheets lets us rebuild the timeline from invoice, PO and spreadsheet dates.
- Paper and Excel: We sample 50–100 job files and time each stage, and digitizing the core workflow is often the first win. The digitization step is quoted after a quick look at a few of your job files.
Automation only where it pays
We fix the process first. Then we take the paperwork off your team's plate where it pays back: draft invoices from signed T&M tickets, pay-app backup pulled from the job file, follow-ups drafted for your AR person to send. A person on your team approves every one.
- Pick: a step that costs time or cash, like billing at job close, chasing change orders or a receivables routine.
- Check the payback before anything is built.
- Build and test it on your own systems, with no lock-in.
- Keep a person approving the output.
- Measure it monthly, and switch off anything that doesn't pay back.
- Our five-step automation checklist, based on the agentic AI framework from the Harvard Data Science Initiative program our founder completed.
